Job Summary
Bowdoin College invites applications for the Administrative Coordinator for the Baldwin Center for Learning and Teaching (BCLT). The coordinator will work directly with five BCLT staff in programs focused on Faculty Development, Academic Coaching and Mentoring, Academic Communication for Multilingual Speakers, Learning Assistants as Pedagogical Partners, Quantitative Reasoning, and Writing and Rhetoric. BCLT programming serves to enhance intentional, inclusive, equitable, and effective learning and teaching environments at Bowdoin College. The coordinator performs a wide variety of complex administrative tasks in support of Center operations including:
- Co-create a welcoming and inclusive space for learning and teaching with BCLT colleagues. Serve as the main point of contact for students, faculty, staff, and visitors at the BCLT. Demonstrate a commitment to valuing diversity, inclusivity, and equity. Manage the BCLT physical space.
- Provide administrative support to BCLT programs: schedule rooms, order meals/catering, create marketing materials and other publicity, and list events on the campus calendar, Campus Groups, Digest etc. for meetings/events. Monitor and purchase supplies as needed.
- Oversee and run student employment processes within the Center including student data records, hiring in Workday, creating WCOnline content, track and approve student hours, and logistics training for 200-250 student employees. Create reports as needed. Work with Student Employment Office.
- Maintain and update regularly the BCLT website, WCOnline scheduling and reporting system, Canvas-learning management system, and other survey and evaluation tools. Provide direct support to the BCLT director with staff meeting agendas, annual reports, and department files management.
- Work effectively and collaboratively with others to successfully accomplish individual, departmental, and College goals. Work with multiple departments across campus including the Library, Facilities, Dining, Registrar, Events Office, and other departments/programs.
- Prepare reports, present information at staff meetings, support budget proposals, and monitor monthly.
Education/Skills Requirements
Required: High School diploma or GED; some college course work and/or degree strongly preferred. A successful candidate will demonstrate: (1) excellent communication, collaboration, and service-focused skills; (2) strong technology skills including Microsoft Word, Excel, and Outlook, web-editing software (web pages and scheduling appointments) and the willingness and initiative to learn technology as needed; (3) project management, data management, and budget skills; and (4) flexibility and creative thinking to meet the needs of a variety of stakeholders.
Experience Requirements and/or Equivalents
Required: A minimum of 3 years’ administrative support experience, preferably in an academic setting. Strongly preferred: Experience working in higher education, preferably in a small, liberal arts setting.
Standard Work Days and Hours
This position is a full-time, year-round position (1.0 FTE) working 40 hours/week Monday – Friday. The anticipated start date is August 1st.
